The London Borough of Hounslow is committed to protecting and respecting your privacy. Through this Privacy Notice we have sought to be as transparent as possible and fully explain how your personal data is held and processed.

This privacy notice applies to Cemeteries services and tells you what to expect us to do with your personal information.

What type of information we have 

The information collected on the application form is only used for the purpose of booking a burial, applying for a memorial permit, or to enable grave maintenance.

We will collect and process the following information:

  • Your name
  • Your address
  • Your email
  • Your telephone number.


  • Name of the deceased
  • Locality of deceased
  • Age
  • Address
  • Date and place of death
  • Faith
  • Martial status
  • Occupation
  • Time and Date of Burial
  • Funeral Director details.


How do we get your information?

All the personal information we process is provided to us directly by the applicant to book a burial, apply for a memorial permit.  

Our Lawful basis for processing your information

The lawful basis we rely on for processing this information is: public task.

If the information you provide us contains special category data, such as health, religious or ethnic information the legal basis we rely on to process is:

  • Substantial Public Interest- under schedule 1 of the Data Protection Act 2018, this is processing that is necessary to carry out for Statutory & Government purposes.

Why we need your information (purposes of processing)

  • To facilitate burial and issue associated documents.
  • To issue memorial permits.

This data is only accessed by the cemeteries team.  

Who your information may be shared with (internally and externally)

Records are uploaded to a secure electronic database (Plotbox) which only the cemeteries team have access. Information is shared with Greenspace360 (a company wholly owned by the London Borough of Hounslow) to allow the burial to take place in our cemeteries.

We may share information with the family’s chosen Funeral Director and Stonemason.

How long we keep your information

Paper records are kept for 7 years. We will dispose your information in the most secure manner possible. Burial and grave owner registers are kept indefinitely.

The Council tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate.
